Overview

How 2Gather Works

2Gather helps families and groups plan trips together. Organizers manage the trip details. Participants stay in the loop via SMS or email — no app download or account required.

The Invitation Flow

Here is exactly how a participant goes from “not yet contacted” to receiving trip updates — and how consent is obtained at every step.

1

Organizer creates a trip and adds participants

The trip organizer signs in to 2Gather, creates a trip, and adds participants by entering each person’s name, mobile number or email address, and preferred contact method. No messages are sent at this stage.

2

Organizer sends invitations

When the organizer is ready, they activate the trip. 2Gather sends a single invitation message to each participant. For SMS participants, it looks like this:

Hi [Name], [Organizer] invited you to join the Henderson Family Reunion on Pinnacle Lake. Reply YES to confirm or NO to decline. View details: [link]. Reply STOP to opt out.

The invitation clearly identifies who is inviting them, what the trip is, and how to opt out before taking any action.

3

Participant replies YES — consent is given

By replying YES, the participant provides express written consent to receive SMS trip updates for this specific trip. This is the sole consent event. Participants who reply NO, who do not reply, or who reply STOP receive no further messages.

After a YES reply, 2Gather sends a one-time confirmation:

You’re confirmed for [Trip Name] with [Organizer]. You’ll receive trip updates and reminders here. Reply STOP at any time to unsubscribe. Msg&Data rates may apply.

Participant receives trip updates

Confirmed participants receive messages in two modes depending on trip timing:

  • Planning phase— a daily digest at 6 pm (organizer’s local time) summarising any itinerary changes made that day. Typically 1–2 messages per week.
  • During the trip — time-sensitive updates (schedule changes, meeting points, alerts) are sent immediately as the organizer makes them.

An example update message looks like:

Trip update from [Organizer]: Dinner on Saturday moved to 7pm at The Rustic Fork. View full itinerary: [link]
5

Participant views the itinerary

Every message includes a personal magic link to a live, mobile-optimised itinerary page — no login required. The page loads instantly and is cached for offline viewing so it works even without cell service during the trip.

The magic link is personal to each participant and expires 30 days after the trip ends. It cannot be used to access any other trip.

Who Sends the Messages?

All messages are sent by 2Gather (operated by Sour Inspiration LLC) on behalf of the trip organizer named in each message. 2Gather uses Twilio to deliver SMS messages. We never send marketing messages, promotional content, or messages unrelated to your specific trip. You will only ever receive messages about a trip you were explicitly invited to by someone you know.
